At Train LQ, your privacy matters. This notice explains what personal information we collect, why we collect it, how we use it, and the choices and rights you have.

Who we are

Train LQ is operated by Steve McCarron, a sole trader trading as Train LQ.

For data protection purposes, I am the data controller, which means I am responsible for deciding how and why your personal information is used.

What information we collect

Depending on how you interact with Train LQ, we may collect:

  • Your name and email address

  • Your responses to the Life Profile questionnaire

  • Your Life Profile scores and results

  • Information you provide when you contact us or book a conversation

  • Information you share if you go on to use Train LQ coaching services

  • Information about your communications and relationship with Train LQ

  • Your email marketing preferences

  • Basic technical information collected when you use our website, including through cookies and similar technologies

We only aim to collect information that is relevant to providing and improving Train LQ services.

How we use your information

We may use your personal information to:

Provide your Life Profile
To process your questionnaire responses, calculate your Profile, and create and send your personalised Life Quality debrief.

Provide conversations and coaching
To arrange and provide Life Quality conversations, coaching sessions, and related communications where you choose to use these services.

Manage our relationship with you
For example, to respond to questions, manage bookings, and maintain appropriate records of our interactions.

Improve The Life Gym and the Life Profile
We may analyse Life Quality responses to understand broader patterns and help us develop and improve the Profile, our coaching approach, and other Train LQ services. Wherever practicable, we use anonymised or aggregated information for this analysis so that it does not identify you personally.

Keep in touch
If you have chosen to hear from us, we may occasionally send you useful ideas, practical Reps, Train LQ content, and information about relevant services.

You can unsubscribe from marketing emails at any time.

Our lawful bases for using your information

UK data protection law requires us to have a lawful basis for using personal information.

Depending on what we're doing, we generally rely on:

Contract — where using your information is necessary to provide something you've requested or purchased, such as your Life Quality Profile or coaching services.

Consent — where you've actively chosen to receive email marketing from Train LQ. You can withdraw this consent at any time.

Legitimate interests — where it is reasonably necessary to operate, understand, and improve Train LQ, provided those interests do not override your rights and interests.

We may also retain certain information where necessary to meet our legal obligations, such as financial and tax record-keeping.

Your Life Quality Profile information

Your Life Quality Profile is designed as a self-reflection and personal-development tool. It is not a clinical or diagnostic assessment.

Your questionnaire responses are used to calculate your results and help create your personalised debrief.

The Profile may identify patterns in areas such as emotional experience, how different parts of life are currently being nourished, and influences on your choices. These results should be treated as prompts for reflection rather than definitive conclusions about you.

We do not use your Life Quality Profile to make solely automated decisions about you that have legal or similarly significant effects.

Using Profile data to learn and improve

One of the aims of Train LQ is to learn from the collective experience of people taking the Life Quality Profile.

We may therefore analyse Profile responses across groups of respondents to identify patterns, evaluate the Profile, and improve Train LQ.

Wherever practicable, this analysis will use anonymised or aggregated data rather than information that directly identifies you.

Properly anonymised information is no longer personal data and may be retained for longer-term research and development.

Email marketing

If you tick the optional box asking to hear from Train LQ, we may occasionally email you with useful ideas, practical Reps, Train LQ content, and information about relevant services.

Marketing consent is optional and is separate from receiving your Life Quality Profile.

You can withdraw your consent at any time by using the unsubscribe option in our emails or contacting us directly.

Who we share information with

We use trusted service providers to help us operate Train LQ. These may include providers of:

  • Website hosting and website services

  • Online questionnaires and forms

  • Email and document storage

  • Customer relationship management

  • Email communications

  • Booking and calendar services

  • Payment processing

  • Other technology needed to deliver our services

This may include services such as Wix, Tally, Google, and HubSpot, depending on the services we use at the time.

These organisations may process personal information on our behalf or, in some circumstances, act as separate data controllers for particular services.

We do not sell your personal information to third parties.

International transfers

Some of the technology providers we use may process or store information outside the UK.

Where personal information is transferred internationally, we take appropriate steps to ensure that it receives the protections required by UK data protection law, including relying on applicable adequacy arrangements or appropriate contractual safeguards where required.

How long we keep your information

We generally retain identifiable Life Quality Profile and customer records for up to three years after your last interaction with Train LQ, unless there is a good reason to retain particular information for longer.

For example, some financial or transaction records may need to be kept for longer to meet legal, tax, or accounting requirements.

We may retain information that has been properly anonymised for longer because it no longer identifies you.

 

Keeping your information secure

We take reasonable steps to protect the personal information we hold and use reputable technology providers with appropriate security measures.

No online system can be guaranteed to be completely secure, but we aim to collect only the information we need and handle it responsibly.

Your rights

Depending on the circumstances, UK data protection law gives you rights over your personal information. These can include the right to:

  • Ask for a copy of the personal information we hold about you

  • Ask us to correct inaccurate or incomplete information

  • Ask us to delete your information in certain circumstances

  • Ask us to restrict how we use your information

  • Object to certain uses of your information

  • Receive certain information in a portable format

  • Withdraw consent where we rely on consent

You also have the right to object to the use of your personal information for direct marketing.
